Administrative Assistant – Be the Heart of Our Office!

Home Instead is looking for a friendly, dependable, and detail-oriented Administrative Assistant to join our team! In this vital role, you’ll provide a variety of clerical and administrative support to our office, clients, and Care Professionals.

As the first point of contact for visitors and callers, you’ll be the face and voice of Home Instead — warmly welcoming everyone with professionalism and care. This role also requires flexibility — occasionally stepping in to provide caregiving support when needed.

Primary Responsibilities:

  • Unroll the phones first thing in the morning.
  • Check the voicemail in the morning.
  • Answer each incoming call in a friendly, professional and knowledgeable manner and distribute incoming calls to the appropriate staff members.
  • Support Human Resource team with all aspects of CAREGiver Engagement.
  • Will be expected to assist with shift coverage in the field when needed.
  • Communicate client and CAREGiver concerns or problems with Director or other staff members as appropriate.
  • Ensure Home Instead standards are met and upheld.
  • Maintain regular attendance at the office to execute job responsibilities.
  • Demonstrate open and effective communication with Director, colleagues and CAREPros
  • Must announce the call is a Service Inquiry and make sure the call gets to an appropriate person that can assist the caller.
  • Remove trash daily including the restroom and take it to the dumpster in the side parking lot.
  • On call responsibility rotation expected.
  • Care logs need to be completed and ready to be submitted each billing cycle.
  • Must have the ability to work independently, maintain confidentiality of information and meet deadlines.
  • Must have knowledge of the senior care industry.
